What is an API? An explanation for business owners
You hear the term in every technical pitch: we will connect it via the API. You nod while the meaning stays vague. The concept is far simpler than it sounds, and knowing it changes how you negotiate with any developer.
The closest analogy: the order window
Picture a restaurant. The kitchen does not let you walk in, but there is a window where you place a specific order and receive the result. An API is that window: your system does not open its database to everyone, but offers defined requests such as give me yesterday's sales, and replies with the data alone without exposing its interior.
Why this matters commercially
Having an API means your system can be connected; lacking one means you are locked in. When buying a new system, asking whether it has an open API matters no less than asking the price, because it decides whether you will copy data by hand forever or connect it with one click.
Three questions to ask before any integration
First: do both systems genuinely offer an API, or do they need a fragile workaround? Second: what are the usage limits, since some systems allow a capped number of daily requests. Third: who holds the access keys, because a key held only by an outside developer is a risk that surfaces the day the contract ends.
Not every connection needs an API
Sometimes a file exported automatically each night and read by the other side is enough. Simpler, cheaper, and sufficient when data does not change every minute. Our system is old and has no API, are we out of options?
No. Options remain such as scheduled exports or reading directly from its database with the vendor's permission. Harder and slower than an API, but they work, and many older Saudi systems are integrated this way.
Does connecting systems put our data at risk?
Proper integration reduces risk because it replaces manual copying over email with a channel of defined permissions. Risk comes from shared unlimited keys and from missing access logs.
What does connecting two systems cost?
It depends on API quality on both sides and the complexity of translating between them. Connecting two modern systems with documented interfaces is far quicker than one old system needing a workaround.
