Automatic low stock alerts: how they actually work
The worst discovery in retail is learning an item ran out from a customer asking for it. An automatic alert flips this: the system tells you before it runs out with enough time to act. The idea is simple, but implementations usually fail for one reason we will reach.
The three components
First, a source that knows current quantity: a sales system or an updated sheet. Second, a condition checked periodically: has quantity dropped below a threshold? The threshold is not one number for all items
This is where the common mistake starts. An item selling a hundred a week and arriving in three days differs from one selling five and arriving in a month. The right threshold is sales rate times lead time plus a safety margin. A single threshold for everything produces late alerts for one item and early ones for another.
The real reason most alerts fail
Flooding. The alert is built across three hundred items, twenty messages arrive daily, everyone ignores them within two weeks, and the system exists with no effect. The cure: alert only on critical items at first, send one daily digest instead of a message per item, and reserve instant alerts for genuinely imminent stockouts.
Who receives it and why
An alert without a named owner is lost. Assign one person per item group, and make the message carry the action rather than the news: instead of item out of stock, write item covers four days, order must go out today. That is the difference between a notification and a ready decision.

Do we need a full inventory system first?
No. An updated quantity sheet is enough to start. What matters is that it is genuinely updated, since an alert built on stale data is worse than no alert because it grants false reassurance.
Is sending via WhatsApp commercially allowed?
Yes through the official business interface under its rules. Sending from personal accounts with unofficial tools risks getting your number banned, a point many overlook.
How long does building such an alert take?
With a ready data source, a few days. The longer part is setting correct thresholds per item, which is commercial work rather than technical.
